Are you hoping to plan an event in the socially distanced world we find ourselves in at the minute? Events are a great way to network, promote your business and welcome new customers, so you don’t want to miss out on this key opportunity.
Events will need to have social distancing measures in place for the moment, but that shouldn’t deter you from organizing one. We’re going to explain to you how your event can be a success – even with certain restrictions in place.
Have a speaker
Networking in the traditional way as we know it is not possible at the moment, so a speaker can act as the middleman. This person can entertain from a distance as they can use a mic to reduce the need to project their voice.
You can also ask those attending to send in any questions beforehand to prevent the need to share a microphone or shout across the room. You can even use social media, such as Twitter, to allow attendees to tweet if they feel inspired during the talk.
Even before social distancing was a thing, you should always look to have a speaker at your event as they can entertain and inform attendees as well as getting your event’s message across.
Limit capacity
While your event may not look busy, it’s the safest and most effective way to have a successful event. A smaller, more intimate event will mean you have to target your audience better.
But this isn’t a bad thing. It will mean you’re filling the seats with the people you want there and not just anyone who gets a ticket. Limited capacity doesn’t have to actually mean limited though. You can stream your event online so some can join the event virtually.
Smart venue
Finding the venue may be the trickiest part of the planning process. Do you want it inside or outside? Large or small? There are some things which you should definitely look out for when you go looking for your venue. Is it a venue with multiple exits? This is a good thing to have as you can have one way in and one way out without any paths being crossed.
You will also want to find a venue with enough toilets for guests (you should look to hire someone to clean them in between uses too). Is there enough floor space for people to socially distance? You will need to ensure there are enough seats and tables comfortably distanced.
Social zones
If you want to have a safe space for people to ‘socialize’, look at having a designated area equipped with clear screens for people to stand or sit behind.
Similarly to the toilets, you should have someone to monitor the social zone and wipe down any areas which have been touched. The screens can be a good idea on tables if you want to operate a networking event. You may also want to implement a mask policy for networking events too.
Planning an event in this socially distanced world is not an easy task, but it can be done. Be sure to check local regulations and current rules for the latest guidelines.
